Account deletion

Delete your CubbyLoop account

You delete your own account yourself, from inside the CubbyLoop app, and it takes effect straight away. You do not need to email us, call anybody, or wait for an approval. This page explains exactly what that removes, what your center keeps as its own record, and what to do if you cannot sign in.

In the app

Deleting your own account

This is the same path for every role — a parent or guardian, a teacher, front desk, a director, a billing admin or an owner.

  1. Open Settings in the CubbyLoop app

Sign in as the person whose account is being deleted.

  2. Go to Account

The full path is Settings → Account → Delete my account.

  3. Choose “Delete my account”

It happens immediately. There is no email to send, no phone call to make and no support chat to go through.

What happens the moment it completes

  • Your access ends — the account can no longer sign in anywhere.
  • Your sign-in is removed.
  • Devices you had registered stop receiving notifications.
  • Your personal details are erased: your name, your title, your contact details and your notification preferences.

What stays, with your name taken off it

Historical operational records that the center keeps stay as the center's own record — for example, that someone checked a child in at 7:42am. Your name is removed from those entries and replaced by “Deleted account”. Removing your name from across the historical records completes automatically within 24 hours of your request.

Owners

If you are a center's only owner

An only owner cannot delete just their own account. Doing so would leave children's records with nobody responsible for them, so the app offers two choices instead.

Promote another owner first

Make someone else an owner of the center, then delete your own account by the ordinary path above. The center and its records carry on under the new owner.

Delete the whole center

Deleting a center is scheduled, not instant. There is a 7-day cancellation window, and during it any owner can cancel the deletion from Settings.

After the 7-day window closes, the center and all of its records are permanently removed, and every member's account for that center goes with it — staff and families alike.

The part we will not hide

What the center keeps, and why

A licensed child care center may be legally required to keep attendance and incident records for a period set by its state licensing authority. For those records, CubbyLoop acts as the center's service provider: the center holds the retention duty, and we hold the records on its behalf.

That has one consequence worth stating plainly. Deleting a parent's account does not delete the child's records. The center remains responsible for them.

Asking for a child's records to be deleted

Ask your center first. The center — not CubbyLoop — holds the records and the retention duty, so the decision is the center's to make, and going to them directly is both faster and the right order.

Inside CubbyLoop a request like this is recorded and routed to the center for review; it is never executed automatically by software. The screen a parent would file it from is not built yet — the review queue exists on the server and the way into it does not — so until it ships, your center is the whole route. If your center needs us to act on a decision it has made, it can write to support@cubbyloop.com.

How long records are kept

We do not state a number here, because there is not one number. The retention period is set by your state's child care licensing rules, and your center's own policy governs how it applies them. The exact period is an open item for CubbyLoop and is not yet published — rather than print a figure that would be wrong in most states, we are telling you where the answer comes from. Ask your center for its retention policy.

The privacy boundaries page describes what CubbyLoop has no field for at all, which is the shorter list and the more useful one.

Fallback

If you cannot sign in

You do not need to reinstall the app, and you do not need a working account, to ask for your account to be deleted. Write to us and the request will be actioned.

Email the deletion request

This opens your own mail app with the details we need already prompted. Delete anything you would rather not say.

Write to support@cubbyloop.com

Or copy the address: support@cubbyloop.com

We verify who you are before deleting anything. A deletion request is a destructive request, and an unverified one would be a way to attack somebody else's account. Expect us to establish that the account is yours first; that check is the reason this route is not instant, and it is not a way of talking you out of it.

Questions this page should answer

Do I have to reinstall the app to delete my account?
No. If you can sign in, use Settings → Account → Delete my account. If you cannot, email the request from this page.
Does deleting my account delete my child's records?
No. Those are the center's records, and the center may be required to keep them. Ask your center about a child's records — the in-app screen for filing that request is not built yet, so your center is the route today.
Can my account be put on hold instead of deleted?
Deleting is deleting. “Delete my account” removes the sign-in and erases your personal details; it does not suspend or hide the account.
I am an owner and I changed my mind about deleting the center.
Any owner can cancel a scheduled center deletion from Settings, during the 7-day window. After the window closes it cannot be undone.
Who do I ask if something on this page does not match the app?
support@cubbyloop.com. If the app and this page disagree, we want to know which one is wrong.
